A Large Health Plan Reduced the Time to Enter Provider Rosters by 35 Minutes Per Provider
Challenge
A major Health Plan in Texas was looking for a way to eliminate the time consuming process of entering provider rosters in to their back-end credentialing/provider relations system. It was important that they automate this process because manual data entry takes up to 45 minutes per provider. The Health Plan was adding a large physician group, and there was no option to get the project completed in time without hiring an employee, or finding a way to automate the healthcare software process.
Solution
The Health Plan was able to automate the process by writing a FoxtrotOne script that could be run for an individual provider, an entire provider roster, and also for provider updates.

Details
The Health Plan had a small team of key knowledge workers involved in the project. The Director of Provider Relations, IT Analyst, and the Subject Matter Expert were able to create a working script on their own within 2 days. The script went in to full production in just one week. A large part of the provider relations department’s time was previously spent doing manual data entry. Now their department is also planning to use Foxtrot to automate other parts of their business processes. The Director of Provider Relations estimates that the time saved using Foxtrot is the equivalent to having added back 1.5 full time employees to their staff.
A Subject Matter Expert used Foxtrot data entry software to perform all of the necessary actions with 100% accuracy of data entry in 5% of the time it would have taken to do manually. The first step is to upload the provider roster spreadsheet file directly in to Foxtrot. The Foxtrot script looks at the fields in the back-end provider relations/credentialing system, extracts data from the provider roster data tables, and then enters that data in to the appropriate fields. The if/then statements in Foxtrot allowed the Health Plan to keep all of their business rules intact, and duplicated the checks that would have been completed by a person if the project was entered manually.
Before Foxtrot, there was no other solution to the laborious process of manual data entry that didn’t involve costly custom programming. The Health Plan didn’t want to make the big investment in custom programming because if there were changes to the software the programming would need to be completely rewritten. Foxtrot gives them the flexibility to empower the Subject Matter Expert to create and modify their own scripts whenever necessary via GUI scripting. Any changes that need to be made to custom programming can take weeks, and with Foxtrot those same changes can be made in minutes.
